Privacy Policy

We at Camel Ride Preschool respect your privacy and will only use your and your child’s personal information to hold your place at our facility, get in touch with you when necessary, and provide individualized care. We will contact you by phone or email to send your childcare invoice and provide up-to-date information.

We secure all your data and information, which makes it easier for us to run our school. The leadership team has access to a secure computer that stores your data. A filing cabinet stores and secures original paper copies of data. Third parties are not given access to any personal information.

If you believe there are any issues with how we handle your data, as a parent, you have an exclusive right to file a grievance with the office of the Information Commissioner.

CONFIDENTIALITY AND PROTECTION OF DATA 

We are aware that we hold sensitive and confidential information regarding our employees, children, and their families. Children’s needs, registers, invoices, and emergency contact information rely on this data. Following data protection principles, we store all records in a locked cabinet or on a computer in the office with password-protected files. Any information shared with the team is treated confidentially and only on a “need to know” basis. Together with the Privacy Notice, this policy will ensure compliance with the Data Protection Act of 2018 and the General Data Protection Regulation (GDPR).

Legal Requirements

We must discuss registered children, their families, and the nursery staff. We also adhere to the General Data Protection Regulation (GDPR), the Data Protection Act 2018, and the Freedom of Information Act 2000, mindful of the storage of data and access to it.

Procedures

We take the following steps to protect the privacy of children and their families:

  • We keep confidential documents in a locked filing cabinet or on an office computer with password-protected files.
  • Ensuring that team members, volunteers, and students are made aware of the importance of maintaining the confidentiality and that no information about the child or their family is shared outside the nursery except with relevant professionals who require access to it. It is not discussed at the local bar, on the bus, or with friends and family. If the team violates confidentiality agreements, they could face disciplinary action or, in extreme cases, termination.
  • Ensuring parents have the right to save the records of their children but only those of any other child if information professionals such as the police or local expert children’s social care team choose that this is not in the child’s best interest.
  • Ensuring all team members know this data is intimate and only for use within the nursery setting.
  • Ensuring all volunteers and students know this data is secure and only for use within the preschool and to support the child’s best interests with parental permission.
  • Any concerns or evidence about a child’s protection are kept in a secure, classified file and are shared with as few people as possible on a “need-to-know” basis. Any concerns or evidence about a child’s safety are kept in a secure, confidential file.

 

However, our safeguarding and child protection policy will override confidentiality if a child is deemed in danger.

The nursery’s primary commitment, which is to the child’s safety and well-being, governs all the activities.

Compliance with the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679). 

We will also carry out the following to fulfill our obligations under the GDPR:

  1. We will ensure that the notices about our terms and conditions, privacy, and consent can be found quickly and are written in a way that is accurate and easy to understand.
  2. We will only use your data to keep you in our setting, get in touch with you when needed, and give your child personalized care. We may occasionally need to contact you by phone or email to send your childcare invoice and provide up-to-date information. We will not use or share your data in any other way.
  3. Everyone in our nursery knows that individuals have the right (subject to other laws and regulations) to access, modify, or delete their records.

 

Information about the team and volunteers

  • All team-related data will be kept secret in a locked cabinet.
  • Any member of the team can always ask to see their file.
